Description
The Operations Administrator provides comprehensive administrative support to the Production, Maintenance, and Tool & Die departments. This cross-functional role ensures the smooth operation of daily manufacturing support needs including work order and purchasing administration, data tracking, training logistics, inventory management, label printing, vendor communication, and ERP system support. The ideal candidate is detail-oriented, organized, and highly collaborative with a passion for operational excellence and continuous improvement.
Duties + Responsibilities Work Order & Label Management: - Generate and print work order packets including travelers, PIS (Process Instruction Sheets),, and drawings.
- Coordinate label printing for production, including troubleshooting Zebra printer issues.
- Support document accuracy and delivery to the production floor.
Purchasing & Vendor Coordination: - Create and process purchase orders (POs) for MRO and Tool & Die supplies.
- Match packing slips to POs and resolves discrepancies related to orders or invoicing.
- Coordinate with vendors for quotes, lead times, returns, and product issues.
- Allocate expenses accurately using general ledger account numbers (GL codes).
Inventory Management: - Maintain accurate parts crib and PPE inventory levels.
- Assist in implementing systems to improve inventory tracking and accessibility (e.g., searchable databases).
- Support preventative maintenance (PM) system development and inventory alignment.
ERP & MES System Support: - Perform data entry and generate reports using ERP (e.g., Visual, Epicor, Infor) and MES/Shop Floor Mobile systems.
- Input and track production, maintenance, and purchasing data.
- Support employees with SFM (Shop Floor Mobile) questions and troubleshooting.
Supervisory Responsibilities - This job has no supervisory responsibilities.
Requirements
Experience: - 3-5 years of experience in a manufacturing, production, or operations support role.
- Familiarity with maintenance, purchasing, or inventory environments strongly preferred.
- Previous experience in a fast-paced manufacturing or industrial environment.
Technical Skills: - Strong proficiency with ERP systems (e.g. Visual, Epicor, Infor, Siteline) and Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with Manufacturing Execution Systems (MES) and label printing software (e.g., Zebra) is a plus.
- Ability to interpret work orders, process sheets, and production documents.
- Knowledge of inventory and purchasing procedures.
Administrative Skills: - Strong data entry and analysis skills, with experience in generating reports and tracking key performance indicators (KPIs).
- Ability to troubleshoot minor technical issues with printers, scanners, and SFM.
- Strong organizational and multitasking abilities to manage competing priorities.
- Experience in documenting processes, procedures, and work instructions.
- Excellent data entry, report generation, and record-keeping skills.
Communication Skills: - Strong verbal and written communication skills.
- Ability to communicate effectively across all levels of the organization, from shop floor employees to senior leadership.
- Strong teamwork and collaboration skills to support supervisors, leads, and the F1 team.
- Conflict resolution skills to address production-related concerns and provide solutions.
Soft Skills: - Strong attention to detail to ensure accuracy in labeling, work orders, and data entry.

Education - High school diploma or equivalent required; Associate's degree or higher in Business Administration, Supply Chain Management, or a related field preferred.
Physical Demands + Work Environment - The employee must be able to lift and carry heavy objects weighing up to forty (40) pounds and work comfortably in a noisy and potentially hazardous industrial environment. Additionally, they should be capable of standing, walking, bending, kneeling, and reaching for extended periods. During job duties, the employee may also need to sit, stoop, kneel, climb, or balance occasionally. They must frequently lift and/or move objects weighing up to forty (40) pounds and may be exposed to moving mechanical parts and a risk of electrical shock. There is occasional exposure to high, precarious places, and specific vision abilities required include close vision, depth perception, and the ability to adjust focus. The work environment often features loud noise levels due to moving mechanical parts.
