About the Role:
We’re seeking a skilled Executive Assistant to support three directors within a fast-paced and dynamic environment in the energy & utilities industry . This role requires exceptional organizational skills, professional communication, and the ability to manage multiple high-priority tasks seamlessly. You’ll oversee complex calendaring, executive meetings, travel logistics, and administrative operations, while serving as a trusted liaison across departments and stakeholders.
This is a high-visibility opportunity for a detail-oriented professional who thrives on structure, collaboration, and ensuring operational excellence.
Key Responsibilities:
Executive Scheduling & Calendaring : Manage calendars in Outlook, prioritize competing demands, arrange recurring/ad hoc meetings, book conference rooms, and coordinate AV/online tools.
Meeting & Event Coordination : Support enterprise-wide executive meetings, ensure logistics and materials are prepared, and liaise with executive offices when required.
Administrative Operations : Track and resolve action items, manage HR-related admin tasks (time reporting, org charts, onboarding), and oversee compliance/safety training tracking.
Travel & Event Management : Coordinate complex travel arrangements, detailed itineraries, and group event logistics.
Documentation & Reporting : Prepare presentations, reports, and meeting materials; maintain filing systems and intranet site content.
Finance & Budget Support : Assist with invoices, purchase orders, expense reports, and commercial card reconciliation.
Professional Communication : Draft polished correspondence, screen calls and emails, and serve as a liaison on behalf of the directors with professionalism and discretion.
What You Bring:
Proven experience as an Executive Assistant supporting multiple directors or executives
Advanced Outlook scheduling skills and ability to manage executive-level calendars
Strong organizational and time management skills with attention to detail
Excellent written and verbal communication, with polished professionalism
Ability to adapt quickly, solve problems, and maintain confidentiality
Proficiency in Microsoft Office Suite (Outlook, Teams, OneNote)
